Contact Management Database – designed to store and manage all your clients’ company and contact details. Multiple contacts can be attached to one company, and various control dialogues eg drop-down calendars and lists greatly improve the speed of data entry – say goodbye to endless hours spent on paperwork and excel spreadsheets. Data entry screens supply default details & automated capitalization. Integrated client management utilities allow you to achieve an exceptional level of customer service and satisfaction, as all of your important client details are on hand at a glance.

C & B Diary uses a clear visual calendar showing bookings you have scheduled and how your resources (rooms, furniture, equipment and staff) are allocated. A grid of resources displayed by date which can be viewed daily, weekly or monthly, and all bookings and enquiries, confirmed and completed are displayed and colour-coded to indicate their respective status.

The calendar fully supports drag-and-drop operations, enabling you to make changes easily and intuitively, whilst preventing errors. It may also be used as a navigation tool, providing access to most other windows in the system. By a simple right-click on a booking, you select contact details to open the contacts window for the selected client.

Bookings are made using customised and highly detailed booking templates that can be tailored to any number of standard types of booking provided by your organisation, where you specify room, meal, equipment etc requirements.

Conferences, functions, weddings, meetings, training sessions or any other type of booking may be specified in detail & then implemented quickly and easily. Detailed quotes may be produced in a matter of minutes through integration with MS Office, and availability and pricing verified reliably. The system warns user of potential over-bookings, and completely prevents booking conflicts from occurring.

The software is designed to be customised to suit your precise needs. Price levels, special pricing, future pricing and taxation are all supported with maximum flexibility.

A variety of operational tools and reports are provided to assist in the day-to-day running of your venue. To ensure a professional image, quotations and invoices are produced in your chosen format via a mail-merge facility or integrated report generator. Many daily and weekly schedule and running-sheet reports are available in a variety of formats which enable data selection by date, department, resource and user.

There are user-friendly features such as the ‘Notes’ facility that will provide follow up and ‘to do’ lists, a detailed correspondence history and other activity relating to your clients & bookings. In conjunction with the Booking Templates, the Notes checklists may be defined so that follow up notes are automatically generated on creation of a new booking based on the booking type & resources selected, e.g. each time you reserve the data projector, you can have a note automatically created that will remind you to organise its availability 3 days prior to the booking. When you run a mail-merge, Notes can be automatically generated for each selected recipient.

GuestCentrix supports integration with a wide variety of Floor Plan tools, with every location or room having one or more floor plan templates designed for each of the appropriate standard room setups. Eg U-shape, boardroom style. Templates may then be customised for each booking and will automatically link to that floor plan for future reference. There is no limit on number of room or location floor plans associated with bookings.

Over 75 pre-defined reports & charts are included as standard. A comprehensive range of statistical and operational reports ensure total control of every event. You have the ability to create your own customised reports with the report editor and report creation wizard, providing unlimited reporting capability.
